Paragon Team is a PCO (Professional Conference Organizer), specializing in the organization and management of congresses, conferences, seminars and similar events.

We offer a range of services all geared to facilitate the organization and management of your event: Big or Small. Local or International.
These services are designed to simplify the planning process, improve the attendee experience and ensure the overall success of the event.

Here’s a thorough explanation of the various services we provide:

  1. Conference Planning and Management: We assist in all aspects, from initial concept development to post-event evaluation. This includes creating timelines, setting objectives, budgeting, creating marketing plans, contacting vendors and coordinating logistics activities.
  2. Venue Selection and Negotiation: As we know the client’s requirements, needs and budget, we identify the most suitable venue for the conference. We negotiate contracts with venues to secure favorable terms and ensure that all necessary facilities and services are provided correctly.
  3. Registration Management: Our registration department manages the registration process for attendees, exhibitors, sponsors, and speakers. For each one of our conferences, we set up an online registration system, which includes the delegates’ personal information. On-site, the registration department issues name badges and provides customer support.
  4. Marketing and Promotion: In order to lead to registration and attract attendees, we promote the conference by building digital assets such as a website, dedicated pages in social networks, newsletters for relevant data and a targeted marketing plan together with the client.
  5. Abstract and Paper Management: For academic or scientific conferences, we manage the submission and review process for abstracts, papers, and presentations.
    We supervise the abstracts review process and make sure that the reviewers get the right abstracts and the process is carried out correctly. Once the reviewing process is complete, we communicate the results with the abstract authors and coordinate the scheduling of presentations.
  6. Exhibition Management: For events featuring exhibitions and sponsorship, we build dedicated prospectus with all kinds of sponsorship packages; we manage the exhibitor registration process, allocate booth space and coordinate logistics such as shipping, setup, and teardown. We also provide exhibitor services and support during the event.
  7. Speaker and Program Management: In most of our conferences, there is a scientific committee which oversees the program. We assist in implementing the program into the online conference systems. We coordinate the speakers’ participation, arranging travel and accommodations, and providing speaker support services.
  8. On-Site Management and Support: Setting up the exhibition, arranging the halls and monitoring the site’s operation team are the basis of the On-Site management.  
    During the event, we provide on-site management and support to ensure that everything runs smoothly.
  9. Technology Solutions: In all our conferences, large or small, we work with a skilled and professional team that is responsible for the mobile platforms, mobile apps, websites, audio-visual, lighting, live streaming services, virtual event platforms and of course the technicians in the conference halls.
  10. Financial Management: We handle all financial aspects of the event, including budgeting, accounting, invoicing, and financial reporting. We ensure that expenses are managed within the budget and provide transparent financial documentation to the client.
  11. Post-Event Evaluation and Reporting: Once the event is over, we distribute Thank-you letters and evaluation forms to assess its success and gather feedback from attendees, exhibitors, sponsors, and others. We prepare post-event reports analyzing the attendees, No shows, Walk-in participants etc.
